Driving Efficiency in Commercial Property Transactions

Our client is a private commercial landlord with a multi-let asset portfolio.

Our client sought a faster, more structured approach to completing lease transactions across a multi-let building with minimal operational friction and reduced time costs.

Our Approach

We worked collaboratively with agents to prepare detailed, reusable heads of terms that could be tailored to each transaction. This meant we had every key detail upfront, no ambiguity, no delays, no scope for renegotiation. This structure eliminated back-and-forth with agents and tenants, reducing negotiation drift and shortening the legal lifecycle of each deal. For clients managing multiple properties or high-value assets, this equates to significant time and cost savings, both in legal fees and deal execution.

Efficient from Day One

  • Accurate heads of terms allowed us to select and draft the right documents instantly, with client details and execution clauses already embedded
  • We eliminated time lost on admin errors, names, addresses, and key terms were correct from the outset
  • A complete lease pack, including draft transactional documents, standard replies to enquiries and management information could be prepared; ready to issue as soon as a tenant was secured

In real terms, this saved hours per transaction, time that would otherwise be spent clarifying terms or correcting admin errors. It also kept agent momentum high, allowing deals to progress without legal delays disrupting timelines.

Centralised & Controlled

Following completion, all legal documents, including title packs, insurance, EPCs, and statutory notices, were stored centrally and kept up to date. This ensured consistency, easy access, and a reduction in duplicated costs.

Minimal Negotiation Drift

By making it clear that lease documents were standard for the building, we set expectations early. This kept transactions efficient and protected commercial terms, whilst reducing the time spent negotiating each document.

Completion, Simplified

Using DocuSign and automated templates, we moved quickly through execution, with no need for scanning, chasing, or follow-ups. All completed documents were securely filed and ready for instant distribution.

Results Delivered

  • Lease packs issued in one coordinated release, avoiding piecemeal delays
  • Up to a week saved per transaction, with fewer touchpoints and less time in the file
  • Reduced WIP and advisory costs for the client
  • Agents stayed engaged, confident deals would complete without legal slowdowns
